Webinar Recording: Can you switch your email solution without migrating any email data?

I'm Exploring Slide Decks Vaultastic Videos Webinars

The rapid adoption of cloud email services like Office 365, Google Mail, SkyConnect and others are challenging IT leaders to execute email data migrations with compressed timelines and user access SLAs.

Email migrations are always difficult. IT leaders focused on such migrations are facing the following key challenges:

  • Improperly planned email migrations can result in increased costs and longer-than-expected migration windows.
  • The speed of extracting data from the source email platform depends on the policies of the source platform. Many of them deploy rate controls to throttle high volume migrations in a short span of time.
  • Considering the vast email solution landscape, most tools are inadequate to perform a complete error free migration, resulting in some amount of data loss.

What if there was no need to migrate email data?

In this webinar, I will discuss email data migration challenges in depth and also share approaches to future proof your email data architecture. Using this, you can not only switch email solutions with ease, but also setup hybrid co-existence setups to leverage the best of many worlds.

In addition, you’ll be ready for other use cases such as data preservation, data governance and compliance. IT leaders focused on email migrations can use the best practices we discuss in this webinar to reduce costs and risks.

Questions asked during the webinar

  • Can I import historical data after I have started email archiving afresh?
Yes. In fact, this is a highly recommended approach in which we suggest that you start archiving the moment you are on-boarded so all mail from that moment on are safely secured. After that you can work out a migration strategy, which includes what data to migrate, which users to target first, what methods to use and so on. You may also have to create a team to plan, supervise and execute on this. Importing historical data does not interfere with the live archiving.
  • Does Vaultastic offer a free trial?
Vaultastic offers you a risk free trial offer for 30 days. You can use the fully featured Vaultastic with unlimited storage.
  • How is the deletion of any data from any user captured and retrieved? How to protect copy rights and product patents from being stolen from email?
Vaultastic stores a PHYSICALLY separate copy of the mail in a tamper proof READ ONLY cloud vault. This means that even if the user deletes the mail from the primary mail account, that mail will still be available on Vaultastic. Preventing data theft via email is more a function of a DLP (Data leak prevention) system and less of an archival or backup system. An archival system could be used to analyze all the mail which were sent and figure out patterns of data carried in those to identify theft (however this is post mortem).
  • Do encrypted mails also get archived on Vaultastic?
In rare situations, emails are transported as encrypted/signed mail. This is done to ensure privacy in the conversation between two or more people. In such a situation, while the mail will certainly be archived, the Vaultastic engines, parsers and scanners have no way to decrypt the mail and index it. Hence an encrypted mail cannot be viewed on Vaultastic or even discovered in the ediscovery. In a way that is what encryption wants to achieve – a totally private conversation only amongst the sender and recipients of the email. The only way this mail will come back into the client of the user, is during a full mailbox restore.
  • When the email is retrieved, does it get retrieved to the original folder or a new folder is created and retrieved into this folder?
To maintain simplicity and allow quick search, the Vaultastic account has only two folders, the Inbox and the Sent Items. All mail received by a user will be available in the Inbox, irrespective of the filters on the primary mail server. All the mails sent by a user will be available in the Sent Items folder. While retrieving a mail, if you forward or reply to a particular person, the mail will land in the inbox of the receiver and no new folder will be created.
  • Assuming, user has discovered the specific e-mail through E-discovery. Would user be still able to respond to / forward that archived e-mail?
Technically the platform supports this function, but it is recommended to use this only in case of an emergency when the primary mail system is down. An archival platform is designed for searches, exports and analysis rather than for communication.
  • Does Vaultastic compress email data? If yes, to what percentage?
Our core plans offer unlimited storage, with the sole purpose of making your provisioning easier. You dont have to plan storage requirements while setting up the archive system for your mail system. All you need to do is to decide your user’s profiles and polan whcih user will have what level of mail retention (1 year, 7 years, or lifetime). Vaultastic doesnt compress email.
  • Does Vaultastic offer DLP in-built for emails stored?
Vaultastic is an email archival platform, and does not support the DLP function, which sits upstream at the point of sending an email. Typically if DLP decides to allow a sent email for delivery, it will be taken into the archive.
